How Audentra approaches the information institutions and individuals entrust to us.

Audentra’s full privacy policy is being finalized with counsel. This page states our approach; it is not the binding policy and should be replaced before launch.

Our approach

Audentra processes institutional information on behalf of the colleges and universities we work with. Institutions remain the controllers of their data; Audentra acts as a processor under the terms of the agreement with each institution.

Institutional data

Each institution’s information remains logically separated. Access within the platform is role-based, and relevant actions can be tracked and reviewed. Audentra does not sell institutional or student information.

Website information

Information submitted through forms on this website is used to respond to your inquiry. Demo, pilot, and event requests are stored securely and, when our HubSpot integration is enabled, sent to HubSpot for follow-up. A demo request does not subscribe you to marketing emails. Newsletter requests are handled separately. You can ask us to remove your information at any time.

Marketing website analytics

On our public marketing website, we use Vercel Web Analytics for aggregate traffic, and our own database for outreach, product interest, and walkthrough or newsletter requests. Approved campaign labels and anonymous referral codes help us understand outreach. A referral code identifies a link, not necessarily the person using it. We do not include names, email addresses, institution names, or form text in analytics events.

With your permission, Microsoft Clarity collects behavioral information such as clicks, scrolling, heatmaps, and masked session recordings. Forms are masked. Clarity may use analytics cookies after consent; advertising storage is denied. Use Analytics preferences in the footer to allow or decline analytics and withdraw recording consent. We also honor Do Not Track and Global Privacy Control browser signals. Basic traffic analytics can operate before a choice is made; declining disables our analytics integration.

When enabled, HubSpot website tracking also requires your permission. Its cookie can connect your website visits with a demo request. With that permission, campaign labels, the referring site, and the link that led to the form may accompany your request. Declining or withdrawing analytics disables this tracking; you can still submit a request. We do not send your form entries to general analytics.

Outreach attribution is kept in browser-tab storage and resets after 30 minutes of inactivity or a new campaign link. Your analytics preference is stored in your browser. For campaign, referral, and direct visits, we keep approved source, medium, campaign, content/channel, anonymous visit milestones, and activity times in our own database. Accepted form requests are recorded server-side when analytics is enabled. The random browser-tab visit identifier is not sent to Vercel or Clarity. Private outreach contact details, notes, and statuses remain in our password-protected team workspace and its database. Attribution may accompany your contact request so our team can understand its context. Consented HubSpot tracking may connect website activity to your contact record. We do not connect website tracking to university student or staff portals. Analytics reporting and retention follow the active Vercel, Microsoft Clarity, and HubSpot service settings.
